We use AI in a couple of places inside The Vitality Project. This page explains exactly where, what it does with what you tell it, what it cannot do, and what control you have. If anything here is unclear, ask us.
1. Where We Use AI
| Feature | What it is | Where it lives |
|---|---|---|
| Victor, the AI wellness coach | A conversational AI assistant built on The Vitality Project's curriculum. You can talk things through, journal, check in on your mood, and get session recommendations. | The Victor page in the member app |
| AI help desk | A conversational AI assistant that answers questions about the app, your membership, and how things work. | The Help Desk in the member app |
| Recommendations | Suggested practices and sessions, some of which are generated by the AI coach in response to what you tell it. | Throughout the app |
| Curriculum and content drafting | Where we use AI tools to help draft or edit our own material, a human writes, reviews, and edits every piece before it reaches you. | Behind the scenes |
If your salon owner or school has given their AI assistant a different name inside Vitality Culture OS, that is still Victor. Same system, same terms, custom name.
Anywhere you are talking to AI, we tell you. The assistant identifies itself as AI at the start of every conversation, the chat header says so throughout, and if you ever ask "am I talking to a real person?" the answer you get will be a straight yes or no.
Where we do not use AI. We do not use AI to decide anything about your membership, your pricing, your eligibility, or your standing in the community or in a school. We do not moderate the community automatically with AI; a person reviews every report. Coaching calls, retreats and live sessions with Elizabeth and our coaches are human.
2. Who Provides the AI
Victor and the AI help desk run on commercial models provided by AI providers such as Anthropic and OpenAI, acting as our service providers through their commercial APIs. We keep the models current, and we note a change here when we make one.
This means that when you send a message to Victor or to the help desk, the text of that message, and the recent conversation around it, is transmitted to that provider's systems to generate a response, and then returned to you inside our app.
Our providers process this data on our behalf under their commercial terms. They are not permitted to use it for their own purposes, and under our agreements with them they do not use your conversations to train their models.
We may change AI providers or models. If we do, we will update this page and tell you if the change materially affects what happens to your data.
3. What Gets Sent to the AI
What is sent when you chat with Victor:
- The message you type.
- The recent conversation in that chat, so the reply makes sense in context.
- Our own instructions for how Victor should behave.
- A small amount of account context: your first name, your role (solo pro, owner, champion, team member, teacher, or student), and where you are in the program. Your survey answers, your Vital Checks, your journal entries and your mood check ins are never sent.
What is sent when you use the AI help desk:
- Your question and the recent conversation.
- Instructions and help content about the app.
- Your membership type and your role, so the answer matches the app you are actually using.
What is never sent: your password, your payment details, or your full account record.
What you choose to send is up to you. If you tell Victor about your health, your medication, your relationships, your finances, or your team, that text goes to the AI provider along with the rest of the message. That is your call to make, and we want you to make it knowingly. A good rule: share what helps you, and leave out other people's identifying details.
4. Storage, Retention, and Deletion
Your conversations are stored so you can come back to them, so your history is there, and so Victor has context.
| Where stored | In our database, hosted in the United States, encrypted in transit and at rest |
| How long we keep it | Kept for 12 months on a rolling basis, then deleted. Sooner if you delete them yourself. Everything goes within 30 days of closing your account, and out of backups within 90 days |
| How long the AI provider keeps it | Up to 30 days. Our providers retain the input and output of an API call for a short period for trust and safety purposes under our commercial agreements, then delete it |
| Your control | Delete any conversation from your chat history at any time. Deleting your account deletes your conversations on the timeline above. |
Deleting a conversation in the app deletes it from our database. It is not merely hidden from your view.
5. Training
Our providers do not train on your conversations. They process them through their commercial APIs, under agreements that do not permit the use of your conversations to train their models.
We do not train on your identifiable content either, unless you tell us we may. We do not use identifiable journal entries, identifiable survey or Vital Check answers, or identifiable conversations with our AI features to train or fine-tune any AI model unless you give us separate, specific opt-in consent for it. That consent is its own choice, never bundled with anything else, and you can withdraw it at any time in Settings. Withdrawing it stops any future use.
We do use de identified and aggregated information to make the features better. We review how members use the service, including conversations with Victor and the help desk, surveys, and check ins, in aggregate and de identified form, to understand how the features are used, to catch problems, and to improve the program and the AI features. Names, contact details and account identifiers are gone before anyone here reads a line of it, and we do not attempt to re identify anyone.
Nothing from a school program account belonging to someone under 18 is used to improve or train any AI model, with or without consent.
6. Who Can Read Your Conversations
No one routinely reads your conversations with Victor. Not our team, not Elizabeth, not your salon owner, not your champion, not your teacher, not your school.
The limited exceptions:
- Safety. If our systems flag content suggesting risk of serious harm to you or someone else, a member of our team may review that conversation so we can respond. See Section 8.
- Support. If you ask us for help with a conversation, or report a problem with something Victor said, we will look at it in order to help you.
- Investigation. If we are investigating a report of abuse, a security incident, or a violation of our Terms.
- Legal. If we are legally required to produce it, or need it to establish or defend a legal claim.
Your salon owner, champion, teacher, or school never has access to your Victor conversations, your journal entries, or your mood check ins. There is nowhere in the product your owner, champion, teacher, or school can reach that content.
Note on privacy: conversations with an AI are not confidential in the legal sense. They are not privileged the way a conversation with a therapist, doctor, or lawyer is. They can be produced in a legal proceeding. Please hold that in mind alongside everything else on this page.
7. What AI Can and Cannot Do
7.1 It can be wrong
AI generates language by predicting what fits. It does not know things the way a person does, and it can be confidently, fluently wrong. Victor may:
- State something inaccurate about our curriculum, your membership, a schedule, or a price.
- Misremember or misunderstand what you told it.
- Give advice that does not suit your situation.
- Reflect biases present in the data it was trained on.
Check anything that matters with a human, with our team, or with the source. Nothing Victor or the help desk says is a promise, a commitment, or an offer by The Vitality Project, and we are not bound by it. If Victor tells you something about your billing, your refund, your membership terms, or your access, and it conflicts with your actual agreement or with our written policies, the written policies control. Tell us and we will fix it.
7.2 It is not care
Victor is not a therapist, counselor, doctor, psychiatrist, or licensed professional of any kind. It is software.
- It does not provide medical advice, mental health treatment, psychotherapy, or counseling.
- It does not diagnose anything, and a mood check in is not a clinical assessment.
- Talking to Victor does not create a therapist and client relationship or any other professional relationship, and it carries no clinical confidentiality.
- It is not a crisis service. It is not monitored in real time by a human, it cannot send help, and it cannot call anyone for you.
Everything in our Wellness Safety and Professional Disclaimer applies to Victor and the help desk in full.
7.3 It is not a person
Victor has a name, a face, and a warm way of talking, because that makes it easier to use. It is still software. It does not remember you the way a friend does, it does not care about you, and its warmth is generated, not felt. We would rather say that plainly than let anyone be confused about it.
8. If You Are In Crisis
If you or someone else is in immediate danger, do not use Victor or the help desk. Get real help now.
- United States: call or text 988 (Suicide and Crisis Lifeline, 24 hours a day, 7 days a week), or call 911, or go to your nearest emergency room.
- Outside the United States: call your local emergency number or your country's crisis line.
- Full safety information is on our Wellness Safety page.
What Victor does when it detects crisis language. If your message suggests you may be thinking about suicide, self harm, or harming someone else, Victor stays with you, gives you the crisis numbers straight away, says plainly that it is AI and cannot provide crisis support, and never gives instructions that could help anyone come to harm. A person here follows up.
What Victor does not do.
- It does not call emergency services. It cannot. Software in a chat window cannot dispatch help.
- It does not contact anyone on your behalf automatically.
- It does not continue as if nothing happened.
Who we contact. We do not automatically notify your employer, salon owner, champion, teacher, school, parent, guardian, or emergency contact when crisis language is detected. We think automatic notification would make this the last place anyone would ever be honest, which would make members less safe, not more. We may be legally required to report certain things, including suspected abuse or neglect of a minor or a vulnerable adult.
Please do not rely on us noticing. Detection is imperfect. Follow up is not instant. We are not a crisis service and cannot become one.
9. Members Under 18
You must be at least 18 to create an account or purchase a membership. Students under 18 may use The Vitality Project only through a school program under a signed agreement between the school and The Vitality Project, LLC, and that agreement governs their participation, the consent obtained for them, and what the school can see. No one under 13 may use the services.
Victor and the AI help desk are available to members 18 and over. Where a school program includes students under 18, the signed agreement between the school and The Vitality Project, LLC sets what those students can use and what consent the school has obtained for them. Where a school's signed agreement lets students under 18 use Victor, they should not put personal details about themselves or anyone else into it.
Nothing from a school program account belonging to someone under 18 is used to improve or train any AI model, with or without consent. The opt in described in Section 5 is not offered on those accounts.
11. Your Choices
- You do not have to use Victor. It is optional. Nothing in your membership requires it, and you lose no program content by skipping it. No program step, waypoint, challenge or badge requires a conversation with Victor to complete.
- You do not have to use the AI help desk. Email support@jointhevitalityproject.com and a person will answer, normally within two business days.
- Delete any conversation from your chat history whenever you want.
- Delete everything by deleting your account. See the account deletion page.
- Ask us what we hold about you, ask us to correct it, or ask us to delete it. See our Privacy Choices page.
- Ask whether you are talking to AI, at any point, and get a straight answer.
- Decide whether we may train an AI model on your own identifiable content. The answer is no unless you turn it on in Settings, and you can turn it back off in Settings at any time. Section 5 explains what we do and do not do without it.
12. Utah AI Disclosure
The Vitality Project, LLC is a Utah limited liability company, and the Utah Artificial Intelligence Policy Act requires that people be told when they are interacting with generative AI rather than a human.
We comply by telling you up front and on request:
- Every AI feature identifies itself as AI before your first message and in the opening message of every conversation.
- A persistent label on the chat header states that you are talking to AI, visible throughout the conversation.
- If you ask at any point whether you are talking to a human or AI, you get a clear and truthful answer immediately.
- This page is linked from every AI surface in the app.
We apply the same standard everywhere, for everyone, regardless of where you live.
13. Changes
We will update this page when our AI features, our providers, or our practices change. The effective date at the top shows the current version. Material changes are announced in the app, and where a change affects what happens to your data, by email.
